Inbox unread messages

Unread messages, by default, are highlighted with a bold font. You can easily change this to give it a completely different look by changing color, size, or font.
· First, select View -> Arrange By -> Current View -> Customize Current View from the menu bar.
· Choose Automatic Formatting.
· Select Unread Messages.
· Click on Font….
· Make all the changes to the font and color that you would like.
· Click OK.
Now, you will see that your unread messages all conform to what you just specified.

Setting up a distribution list

Distribution lists help you easily send emails to a larger group of people without having to add individual email addresses.  Set groups of friends and colleagues or create an “all” list that will mail to every email that you have.
To set up a mailing list in Outlook:

  • To begin select File -> New -> Distribution List  
  • Type the desired name of your new list under Name (Such as Sales Team, New Project Team, or Friends)
  • You can add new members to the list immediately with the Add New… and Select Members… buttons.
  • Click Save and Close.

Now, when you add new recipients to your email list you will be able to choose your new distribution list rather than all the individuals that it contains.

Automatically Have Spell Checker Check Each Outgoing E-mail

Evur misspell a werd?  Even with the spelling and grammar notifications in Outlook, we find that people still send out emails with spelling errors.  Follow the link to learn how to have every outgoing email checked by the spell-checker

Begin by going to Tools -> Options

Click the Spelling tab

Check the 2nd checkbox, Always check spelling before sending

Click OK 

Now, every time you send an email out, you will be warned by Outlook if there are any spelling errors in the message you are trying to send.

Sending Outgoing Mail on Stationary

Did you know you could use colorful stationary for all outgoing emails instead of just the usual white page?

To begin click Tools -> Options -> Mail Format (tab at the top)

Under Message format and beside Compose in this message format: notice what your current format is 

Click the drop-down list, and see your other choices 

Choose HTML (it should be the only choice) 

Under Stationery and Fonts choose Stationery Picker… 

You can choose the type of stationary you like now  

Click OK and OK

Now, when you send an email it will have the pattern on it that you have chosen. 

Automatically Sort Incoming Emails

Is your Inbox getting full and overcrowded?  Do you have trouble finding important emails quickly?  Outlook can help organize your Inbox by automatically placing incoming emails in specific folders.  Here’s how:
1.       In your Inbox, right click on an email that you would like to be automatically placed into a folder.
2.       From the menu, select Create Rule.
3.       In the Create Rule Box, select the conditions for your rule so that it will apply to the sender, wording, or recipient of the email.
4.       Below the conditions options, select Move e-mail to a folder.
5.       Click on Select Folder to specify where emails with your selected conditions should be automatically stored.  Click OK.
6.       A Success box will pop up. Select Run this rule now to apply your rule to other messages already in your inbox.  Or, click OK and your rule will apply to all incoming emails in the future.
