Hosted Microsoft SharePoint Foundation 2010 Email Enabled SharePoint List

The SharePoint Foundation 2010 incoming email function allows users to email text, documents, calendar appointments and more to a SharePoint list. Once you have created and can access your SharePoint site you can now email data to specific lists.

Here are some examples of common lists and how they can be used.

  • Announcements: Share news with your company by simply emailing your announcement list.
  • Calendar: Add your SharePoint list as an attendee in a meeting request and it will post to your site’s calendar.
  • Shared Documents: Email documents to your shared documents list to collaborate with your team.
  • Team Discussion: Send an email to your team discussion list and keep your team up to date with your progress on a project.

How to assign an email to a SharePoint list:

  1. Log into your Control Panel
  2. Click on “SharePoint Sites” link
  3. Find the SharePoint site that you would like to add an email to and click on “Edit
  4. Scroll down to the “Configure SharePoint Email Settings” section where you can view the available lists which can be mail enabled.
  5. Select the list that you would like to enable and click on “Mail Enable List
  6. A new section will now open below the dialog box. This is where you will be able to specify your settings. Complete the required fields and click “Save


    TIP: The information you specify here will appear in your Global Address List. Please ensure that it is clearly labeled. Each list has 2 valid email addresses which can be used when sending emails.

    The following steps will enable you to configure the list within SharePoint.

  7. Login to your SharePoint site and click on the list which you enabled.
  8. Click on “List” to expose the proper menu.
  9. Click on “List Settings
  10. Click on “Incoming Email Settings” within the communications column.
  11. Within this page you can customize how your list will behave. In this example, I will open the list to everyone. The list can now receive email from users within my company who do not have permissions as well as senders from outside the company.
  12. Click OK and send a test email to the address of the list. Go into the list and you should see a new entry!
