In Microsoft Outlook 2007
- Open Outlook
- In the bottom left corner of Outlook select “folder list”. Then choose the folder you will want to share with another Exchange user in your company. Right click on the folder and select “change sharing Permissions”.

- Choose “Add” and then select the user who you will give permission to.

- Once the user is added you will need to choose the “permissions level”. Choose the drop-down arrow and select the appropriate permissions level for that user

- Press “Apply” and “Ok”
- Restart both users’ Outlook clients.
The user will now have permission to open and, depending on the permission level that was assigned, modify the selected folder.

In Microsoft Outlook 2003
To delegate access to another user's mail folder:
- Go to Tools menu > Options; click the Delegates tab.
- Click Add.
- Select the user you want to delegate access to and click OK.
- Set permissions for the user. You can specify if a delegate has access to your private items, and whether an email should be sent informing him/her about his permissions.
- Click OK.
- After the delegate has been given permissions, you can choose to send meeting requests and responses to the delegate only.
To open another user's mail folder:
- Go to Tools > Email Account > "View or change existing e-mail accounts".
- Select Microsoft Exchange Server and click Change.
- Click More Settings; click the Advanced tab.
- Click Add and enter the user's name as the mailbox to open.
- Change to Folder List view; you should now see the additional mailbox.
- Click on the "+" to expand the folder selection. If you receive a permissions error, go back to the owner's version of Outlook, right-click on their "Mailbox - <owner's name>", select "Properties", then on the Permissions tab. Add the delegate's name to the list and give them a Permission Level of Publishing Editor.
