Delegating/Accessing Another User's Mail Folder in Microsoft Outlook 2002 (XP)
To delegate access to another user's mail folder:
- Go to Tools menu > Options; click the Delegates tab.
- Click Add.
- Select the user you want to delegate access to and click OK.
- Set permissions for the user. You can specify if a delegate has access to your private items, and whether an email should be sent informing him/her about his permissions.
- Click OK.
- After the delegate has permissions you can choose to send meeting requests and responses to the delegate only.
To open another user's mail folder:
- Go to Tools > Email Account > "View or change existing e-mail accounts".
- Select Microsoft Exchange Server and click Change.
- Click More Settings; click the Advanced tab.
- Click Add and enter the user's name as the mailbox to open.
- Change to Folder List view; you should now see the additional mailbox.
- Click on the "+" to expand the folder selection. If you get a permissions error, go back to the owner's Outlook, right-click on their "Mailbox - <owner's name>", select "Properties", then on the Permissions tab. Add the delegate's name to the list and give them a Permission Level of Publishing Editor.
