Outlook Tips:

Manual Outlook Setup on Exchange 2003 for Windows 2000/Windows 2003 Server/XP/Vista

Prior to setting up Outlook you will need your Outlook setup information with your username, password and server name. This can be found in either the Welcome email or you can log into the Control Panel and click on Help > Setup Information.


If you are running any of the following Outlook/OS combinations you will need a VPN connection:

Outlook 2000

  1. Close Outlook.
  2. Download and run the pre-setup software: http://www.123together.com/Downloads/OLSetupv3.exe and select “Update host file setting and Outlook plug-in only”.
  3. Launch Microsoft Outlook 2000.
  4. Go to Start > Control Panel > Mail. If you do not have the Mail icon, click on "Show Classic View" on the top left and the icon will now appear.
  5. Click Email Accounts > Add a new e-mail account >Next.
  6. Select Microsoft Exchange Server; click Next.
  7. Exchange Server Settings:
    o Microsoft Exchange Server: ("Exchange Server" e.g.: "MAIL001" or "BE001". Do not add ".mail.lan"! )
    o Check "Use Cached Exchange Mode"
    o User Name: <your e-mail address - e.g. YourName@YourDomain.com>
    o Click More Settings
    o After 30-90 seconds, it may time out and you may get a message similar to this: Outlook could not log on. OR The action could not be completed. The connection to the Microsoft Exchange Server is unavailable. Outlook must be online or connected to complete this action. This is an expected message - click OK. If a new window opens that asks for "Microsoft Exchange Server" and "Mailbox", click Cancel.
  8. Microsoft Exchange Server: A new window will open, which has 5 tabs starting with "General"
    o Click the Advanced tab.
    o Check “Use Cached Exchange Mode”.
    o Check “Download Public Folder Favorites” .
    o Click Apply.
    o Click the Connection tab.
    o Check “Connect to my Exchange mailbox using HTTP”
    o Click Exchange Proxy Settings.
  9. Exchange Proxy Settings:
    o https://RPC.MyOutlookOnline.com
    o Check “Connect using SSL only.
    o Check “Mutually authenticate the session when connection with SSL” box .
    o Enter msstd:RPC.MyOutlookOnline.com as the Principal name for proxy server
    o Check “On fast networks, connect using HTTP first, then connect using TCP/IP”.
    o Check “On slow networks, connect using HTTP first, then connect using TCP/IP”.
    o Select Basic Authentication from the drop-down menu.
    o Click OK.
    o Click OK.
  10. E-Mail Accounts: Exchange Server Settings:
    Click Check Name - this may take 30-90 seconds.
  11. Connect to <Exchange Server Name> window pops up:
    o User name: <your e-mail address - e.g. YourName@YourDomain.com>
    o Password: <your password>
    o The server name and user name should now be underlined. If not, double-check both in your welcome e-mail and that you have internet connectivity
    o Click Next. You will get the "Connect to mail001" window again - use the same info as above.
  12. If you had already setup Outlook to receive mail using a Personal Folder on your laptop, the system will warn you that mail from Exchange Server will be delivered to the Personal Folder and ask if you want to continue. Click Yes.
  13. Click Finish.
  14. Go to Tools > Email accounts > View or change existing e-mail accounts > Next.
  15. At the bottom of the window, you will see "Deliver new e-mail to the following location". Make sure that this is set to Mailbox - Name. Do not set it to Personal Folder, or your mail will be removed from the server and it will only be kept on your computer.
  16. Click Finish.
  17. Click OK.

Every time you start Outlook, you will be prompted to logon with your username & password.


Outlook 2002

  1. Close Outlook.
  2. Download and run the pre-setup software: http://www.123together.com/Downloads/OLSetupv3.exe and select "“Update host file setting and Outlook plug-in only”.
  3. Go to Start > Control Panel > Mail.
  4. Click Email Accounts > Add a new e-mail account > Next.
  5. Select Microsoft Exchange Server; click Next.
  6. Exchange Server Settings:
    a. Microsoft Exchange Server: ("Exchange Server" e.g.: "MAIL001" or "BE001". Do not add ".mail.lan"! )
    b. Mailbox: enter your username (e.g. company.username)
    c. Click Check Name.
    d. You will be prompted to logon with your username (e.g. company.username), password and domain.
    e. Click OK.
  7. If you had already set up Outlook to receive mail using a Personal Folder on your laptop, the system will warn you that mail from Exchange Server will be delivered to the Personal Folder and ask if you want to continue. Click Yes.
  8. Click Finish.
  9. Click Email Accounts.
  10. Select "View or change existing e-mail accounts"; click Next.
  11. At the bottom of the window, you will see an item that says "Deliver new e-mail to the following location". It is important that this is set to Mailbox - Name. Do not set it to Personal Folder or your mail will be removed from the server and it will only be on your computer.
  12. Click Finish.
  13. Click OK.

Every time you start Outlook, you will be prompted to logon with your username, password, and domain. Use MAIL for the domain. The login process takes 15-30 seconds.

Outlook 2003

  1. Close Outlook.
  2. Download and run the pre-setup software: http://www.123together.com/Downloads/OLSetupv3.exe and select “Update host file setting and Outlook plug-in only”.
  3. Go to Start > Control Panel > Mail. If you do not have the Mail icon, click on "Show Classic View" on the top left and the icon will now appear.
  4. Click Email Accounts > Add a new e-mail account >Next.
  5. Select Microsoft Exchange Server; click Next.
  6. Exchange Server Settings:
    a. Microsoft Exchange Server: ("Exchange Server" e.g.: "MAIL001" or "BE001". Do not add ".mail.lan"! )
    b. Use Cached Exchange Mode: leave this box checked
    c. User Name: <your e-mail address - e.g. YourName@YourDomain.com>
    d. Click on More Settings
    e. After 30-90 seconds, it may time out and you may get a message similar to this: Outlook could not log on. OR The action could not be completed. The connection to the Microsoft Exchange Server is unavailable. Outlook must be online or connected to complete this action. This is an expected message - click OK. Outlook 2007

  1. Close Outlook.
  2. Download and run the pre-setup software. Click on this link - http://www.123together.com/Downloads/OLSetupv3.exe and select "Open" or "Run". Follow the prompts to finish the setup. Make sure that the "Use VPN" checkbox is not checked.
  3. Go to Start > Control Panel > Mail icon. If you do not have this icon, click "Classic View" on the top left and the Mail icon will now appear in the list.
  4. Go to the General tab and click Add. Enter a Profile Name (i.e.: 123Together Exchange) and click OK.
  5. Check the box to manually configure server settings; click Next.
  6. Select "Microsoft Exchange" as the Email Service; click Next.
  7. E-Mail Accounts: Microsoft Exchange Server Settings:
    a. Microsoft Exchange Server: ("Exchange Server" - from A-4 above, e.g.: "MAIL001" or "BE001". Do not add ".mail.lan"! )
    b. Check "Use Cached Exchange Mode".
    c. User Name: <your e-mail address - e.g. YourName@YourDomain.com>
    d. Click More Settings.
    e. After 30-90 seconds you may get a message similar to: Outlook could not log on. OR The action could not be completed. The connection to the Microsoft Exchange Server is unavailable. Outlook must be online or connected to complete this action. This is an expected message - click OK.
    If a new window will open, which asks for "Microsoft Exchange Server" and "Mailbox". Click on the Cancel button
  8. Microsoft Exchange Server: A new window will open, which has 5 tabs starting with "General"
    a. Click the Advanced tab
    b. Check "Use Cached Exchange Mode".
    c. Check "Download Public Folder Favorites".
    d. Click Apply.
    e. Click the Connection tab.
    f. Check "Connect to my Exchange mailbox using HTTP".
    g. Click Exchange Proxy Settings.
  9. Exchange Proxy Settings:
    a. https://RPC.MyOutlookOnline.com
    b. Connect using SSL only: check box
    c. Mutually authenticate the session when connection with SSL: check box
    d. Enter : msstd:RPC.MyOutlookOnline.com as the principal name for proxy server.
    e. Check "On fast networks, connect using HTTP first, then connect using TCP/IP".
    f. Check "On slow networks, connect using HTTP first, then connect using TCP/IP".
    g. Use "Basic Authentication" when connecting to my proxy server for Exchange.
  10. Click OK.
  11. Click OK.
  12. E-Mail Accounts: Exchange Server Settings:
    Click on Check Name - this may take 30-90 seconds.
  13. Connect to <Exchange Server Name> window pops up:
    a. User name: <your e-mail address - e.g. YourName@YourDomain.com>
    b. Password: <your password>
    c. The server name and user name should now be underlined. If not, double-check both in your welcome e-mail and that you have internet connectivity
  14. Click Next. You will get the "Connect to mail001" window again - use the same info as above.
  15. If you had already setup Outlook to receive mail using a Personal Folder on your laptop, the system will warn you that mail from Exchange Server will be delivered to the Personal Folder and ask if you want to continue; click Yes.
  16. Click Finish.
  17. Click Email accounts > View or change existing e-mail accounts".
  18. Click Next.
  19. At the bottom of the window, you will see "Deliver new e-mail to the following location". Ensure this is set to Mailbox - Name, where name is your name. Do not set it to be Personal Folder, or your mail will be removed from the server and it will only be kept on your computer.
  20. Click Finish.
  21. Click OK.
    Every time you start Outlook, you will be prompted to logon with your username & password.
