What Is Journaling And How Is It Different Than Archiving?
Journaling is simply the ability to record all the electronic communications of a company. By using Microsoft Outlook and our hosted Exchange service as your corporate email solution, all of your incoming, outgoing, and internal email which passes through our system is copied to a spare mailbox. All emails are retained until they are deleted.
Journaling is often used for internal auditing purposes such as monitoring employee-client communication or preventing employees from distributing resumes on company time. It can not be used to meet regulatory compliance requirements because these emails can easily be altered and destroyed.
So, the difference between journaling and archiving is:
- Journaling gives you the ability to record all communications but does not protect the content from manipulation or meet any federal regulations.
- Archiving reduces the strain on your data stores by moving all communication to a different location, enables nontechnical staff members to easily search for documents related to compliance or litigation issues, and eliminates the ability to alter emails.
